Questions to Ask Vendors for an Event Display Rental in Metro Manila

October 25, 2026

The day rate is the easy part. Two quotes can show the same number per unit and still end up very different by the time add-ons and VAT land on the invoice. These are the questions to ask vendors for an event display rental, and they work for any supplier, including us. Ask them early, get the answers in writing, and you'll compare real costs instead of headline rates.

Quick answer: Before you book, ask whether the rate is per unit per day, what the quote covers and what's added on top, whether a technician stays on site, what happens if a unit fails, what content formats they need and by when, who handles venue load-in and power, and what the lead time and cancellation terms are.

Questions to ask vendors for an event display rental

Print these questions to ask vendors for an event, or paste them into your email to every supplier on your shortlist. Same questions, same format, easier comparison.

Checklist of questions to ask vendors for an event display rental, from day rates to cancellation terms

1. Is the rate per unit per day? What counts as a day?

"Per day" can mean a calendar day, a set number of hours or "until the venue closes." If your venue allows ingress the night before, ask whether that setup night is charged as an extra day. For a two-day convention with a night-before setup, the answer changes the total.

2. What's included, and what's added on top?

This is where quotes drift apart. Ask for every line in writing, from the equipment to anything the supplier adds on top. A low day rate with a big extra line can cost more than a higher rate with everything spelled out. Ask, too, whether VAT is included.

3. Will a technician stay on site?

Some suppliers drop off and leave. That's fine for a single screen running one video. It's not fine when sponsor loops need swapping between sessions or a unit needs a restart during the keynote. Ask whether the technician stays for the whole program and who you call if they step out.

4. What happens if a unit fails?

Ask if they bring a spare, how fast they can replace a unit, and whether you pay for a day the unit wasn't working. If the answer is vague, assume there's no backup and plan around it.

5. What content formats do you need, and by when?

Ask for their spec sheet: file types, orientation and the deadline for final files. Then ask who checks the files before event day. A supplier who tests your content on the real unit the night before saves you a very awkward morning.

6. Who coordinates venue load-in times and power?

Venues in Metro Manila often have strict ingress windows, freight elevator schedules and rules about where trucks can park. Ask whether the supplier talks to the venue directly or expects you to relay everything. Also ask how much power each unit needs and whether they bring extension cords.

7. What's the lead time and cancellation policy?

Ask how far ahead they need to confirm, when payment is due, and what happens if your date moves or the event is cancelled. Get the answer in writing, not just on a call.

8. Can you handle registration or other tech too?

If the same team can run your displays, QR check-in and screen content, you deal with one point of contact on the day instead of three. That's not always the right call, but it's worth asking.

How much does it cost to rent a TV screen or LED Poster in Metro Manila?

It depends on the supplier, the unit and the add-ons, which is exactly why the questions above matter. People search "how much is LED screen rental in the Philippines" expecting one number, but the honest answer depends on the unit and how many days you need it.

We publish ours. Here's our current rate card for event display and equipment rentals:

Unit Rate
LED Poster ₱10,000 per unit per day, VAT inclusive
Vision 22" Digital Display ₱5,000 per unit per day, VAT inclusive
Vision 32" Digital Display ₱8,000 per unit per day, VAT inclusive
Interactive Touchscreen Kiosk ₱10,000 per unit per day, VAT inclusive

We send a clear quote for the units and days you need. If you're looking to rent a TV screen for an event, the Vision displays are the closest fit. For what each unit is good at, see our LED Poster and Vision display details.

Booking around the holidays

Late October is when year-end parties and November conventions start fighting for the same dates, crews and trucks. A few dates to plan around:

  • Nov 16 to 18 have been declared special non-working days in Metro Manila. Ask your supplier how road closures could affect delivery and load-in that week, and recheck closer to the date.
  • Nov 30 (Bonifacio Day) and Dec 8, 24, 25, 30 and 31 are holidays under Proclamation No. 1006, which squeezes December party dates and venue ingress slots.

If your event falls near any of these, ask about lead time sooner rather than later. Metro Manila traffic on the eve of a long weekend is its own planning problem.

How 360 Logix answers these

Since we're asking you to put these questions to every supplier, here's where we stand:

  • Rates: per unit, per day, published above, VAT inclusive.
  • Technician: our technician knows the units and handles content changes during the event.
  • Content: we help format your files to fit the screen and check them on the unit before doors open.
  • Coverage: tell us your venue and we'll confirm what's possible outside Metro Manila.
  • Lead time, backups and cancellation: these depend on your date, venue and number of units, so we'll confirm them on your call and put them in writing.
How 360 Logix answers the eight questions: rates, an on-site technician, content, coverage, lead time, backups and cancellation in writing

We've run event tech for 15+ years. We'd rather you compare us properly than pick us for a rate that looks cheaper than it is.

FAQ

Can I rent a TV for just one day?
Usually, yes. Our rates are per unit per day, so a one-day event is priced as one day. If your venue lets you set up the night before, ask how that night is counted before you sign off on the quote.

What if the venue has strict load-in hours?
Tell your supplier the exact ingress window as early as possible, along with any freight elevator or parking rules. A good supplier plans the delivery around the venue's schedule. If the window is tight, ask whether they can set up the night before.

Is VAT included in display rental rates?
It varies, so always ask. Our rates are VAT inclusive.
