LED Poster vs Tarpaulin: What Actually Works Better for Your Next Event

It's October, and if you run events in Manila, you're probably deep in signage orders right now. Convention season is in full swing, and the Christmas party rush comes right after. So the question comes up again: LED poster vs tarpaulin, which one should you actually pay for?

Here's our honest answer. Sometimes the tarp is the right call. But less often than most organizers think.

Quick answer: A printed tarpaulin is best for a single message that won't change, especially outdoors and on a tight budget. An LED poster is better when you have several sponsors, video content, a multi-day program, or any chance of last-minute changes, because you update a file instead of reprinting.

What is an LED poster?

An LED poster is a slim, freestanding digital screen about the size of a standing poster. It plays images, slides and videos in place of a printed design, and you can change what it shows any time, even in the middle of the event. The usual tarpaulin routine (and where it breaks)

Design, print, rush fee, reprint

You know how it goes. The layout gets approved, the tarp goes to print, and two days before the event, the program changes. A speaker drops out. A session moves from Ballroom A to Ballroom C. A late sponsor asks why their logo isn't up.

Now you're choosing between a rush reprint, a sticker patch over the old text, or just living with a sign that's wrong. None of those look good at a registration area full of doctors or executives.

What happens to the tarp after the event

Most tarps get used once. If the event has a date on it, they can't be reused, and they end up rolled up in a stockroom or thrown out. That matters more than it used to, and we'll come back to it below.

When a printed tarpaulin still makes sense

We'd rather tell you this straight than sell you something you don't need. A tarpaulin for events is still a good choice when:

  • It's one message that won't change, like a directional sign or a big welcome banner
  • It's outdoors, especially with no power nearby
  • It's a one-day event on a tight budget with very little signage
  • You need something very large, like a backdrop or a building banner

People also ask what size tarpaulin they need. Honestly, it depends on how far away people will be reading it and what the venue allows. Ask the venue for their signage rules before you order anything.

When an LED poster is the better choice

Sponsor loops

This is the big one for medical conventions and association events. Sponsors want to be seen, and a printed board gives each sponsor a corner of one design. An LED poster gives each one their own slide or video, playing full screen in turn.

Many organizers now plan for sponsor videos playing on a loop during registration and booth visits. A tarp can't do that.

Last-minute changes

Speaker swaps, room changes, a delayed plenary. With an LED poster, the fix is a new file, not a new print job. If you don't have a designer free, you can have our creatives team prepare your LED poster content before the event and make changes on the day.

Multi-day events

On a three-day convention, Day 1 needs the registration info, Day 2 the workshop schedule, and Day 3 the closing and raffle. That's three sets of tarps, or one LED Poster with three playlists.

How much does an LED poster cost compared to printing tarps?

We won't pretend a tarp costs more than it does. One simple printed tarp is cheaper than a day of LED Poster rental, full stop. The comparison only gets interesting once you add everything up: the design time, several tarps for several sponsors, a rush fee, the reprint when the program changes, and the fact that you'll do it all again at your next event.

If your signage plan is one tarp, keep the tarp. If it's eight tarps and two reprints, run the numbers.

Worth knowing: plastic tarpaulin rules in some cities

Some cities restrict plastic tarpaulins, and some of those rules cover tarps and posters used for business, not just election materials. It isn't a nationwide ban, and venues set their own rules too. So before you print, check with your city and your venue.

  1. Will anything on the sign change before or during the event?
  2. Do you have more than two or three sponsors to show?
  3. Do you have video content, like sponsor ads or a teaser?
  4. Is the event longer than one day?
  5. Is the spot indoors, with power nearby?
  6. Will you need the same signage again at a future event?
