How to Organize a Medical Conference: A Planning Checklist for Society Conventions

October 7, 2026
Share:

November is convention month in Manila. Look up medical conventions for 2026 in the Philippines and you'll find society annual meetings stacked across the month. Most checklists dump every task in one pile. This one is different: if you're learning how to organize a medical conference, work backwards from opening day so CPD, sponsors, consent and tech aren't left for the final scramble.

Quick answer: Start 12+ weeks out with venue, dates, CPD accreditation and a sponsor prospectus that respects industry codes for pharma sponsorships. Open registration with clear consent wording around eight weeks out, book event tech when you lock the venue, then lock program, signage and floor plan by four weeks. Rehearse the week before; finish certificates and feedback after.

How far ahead should you start planning a medical conference?

For a society annual convention, treat 12+ weeks as the working baseline, not a luxury. Venue holds, CPD paperwork and exhibitor interest all move slower than a corporate team-building schedule. A conference planning checklist that starts at four weeks is already late on the items that get societies in trouble: accreditation, sponsor rules and data privacy on the registration form.

Book event technology for conventions when you lock the venue, not after the scientific program is final. Screens, registration hardware and AV book up on the same peak weekends as every other society convention that season.

12+ weeks out: venue, dates and accreditation

Check the holiday calendar

Before you print save-the-dates, check national holidays and anything that hits Metro Manila traffic. November 16 to 18, 2026 have been declared special non-working days in Metro Manila. If your dates fall in or near that window, plan for heavier traffic, possible road closures, longer delegate travel, delayed supplier deliveries and thinner staff availability. Reconfirm everything closer to the event, since plans around those dates can shift.

CPD provider and program accreditation

CPD is not a day-of paperwork pile. File with your CPD-accrediting body early enough that program titles, speakers and contact hours are settled before you market the event as accredited. Your annual convention checklist should show a named owner for CPD, with a status check every two weeks until approval lands.

Sponsor prospectus that respects industry codes

Booth layouts, giveaways and what can appear on stage all sit under industry rules. Point your committee to the industry codes for pharma sponsorships and the current health rules on product promotion before the prospectus goes out. This is not legal advice; your compliance team and counsel decide what your society can offer. Waiting until an exhibitor asks for a product demo on the plenary stage is how you get uncomfortable last-minute cuts.

8 to 4 weeks out: registration, tech, program and floor plan

Open online registration with consent wording

Around eight weeks out, open online registration and check-in with the fields you'll need on site: name for the badge, professional license number where relevant, specialty, category and payment status. Build consent language against current data privacy rules on consent. Again, not legal advice — have your DPO or counsel review the wording before the form goes live.

Book the tech order

Same window: registration and ticketing setup, check-in hardware, displays, AV and livestream if you're hybrid. Locking tech after the program freezes is how societies end up with the wrong room counts and no spare check-in lane. Treat the tech order like the venue contract — early and written.

Program, signage and exhibitor floor plan

By four weeks out, the scientific program should be stable enough for signage and LED Poster playlists. Exhibitor floor plans need the same deadline so booth power, aisle widths and sponsor visibility aren't redrawn on load-in day. Content for digital stands can still flex; the floor plan shouldn't.

One week out through convention day

Run sheet, staff briefing and rehearsal

One week out: full run sheet (doors, registration open, plenary cues, breaks, closing), named owners for each beat and a staff briefing that covers edge cases. Rehearse check-in and stage cues if you can get venue time. Volunteers who only meet the system on the morning will invent their own process under pressure.

Day before and opening day

Day before: load-in, power checks, test registration and check-in end to end, walk the lanes. Opening day: open registration early enough for the peak window, keep walk-ins and problems off the pre-registered lane and protect the first plenary start. Your job that morning is to run the plan, not rebuild it.

After the convention: certificates, recordings, feedback

CPD certificates, session recordings and a short feedback form belong on the timeline, not in a "we'll figure it out later" pile. Decide who issues certificates, when recordings go live and how feedback feeds next year's program. Close the loop while attendees still remember the event.

FAQ

What committees does a medical convention need?
At minimum: scientific/program, registration, exhibits/sponsors, finance and logistics/AV. Add CPD and data privacy owners even if they sit inside an existing committee. Clear ownership beats a large org chart with no named deadlines.

When should CPD accreditation be filed?
Early in the 12+ week window, once program shape and speakers are real enough to submit. Check your CPD-accrediting body's current issuances for forms and timing rather than copying last year's calendar.

What should the registration form include for data privacy?
Plain-language consent for what you collect, why you collect it, how long you keep it and who can access it, aligned with current data privacy rules. Have counsel or your DPO approve the text before launch.

Do the Nov 16–18 non-working days affect Metro Manila venues?
They can. Those dates were declared special non-working days in Metro Manila, which may affect traffic, deliveries and staffing. Confirm with your venue and suppliers if your dates sit in or near that window, and recheck closer to the event.

We've helped societies run events for 15+ years, and the committees that finish early are the ones who book tech with the venue, not after the program PDF is final.
